Voicemail To Email On 3CX: Get Every Message In Your Inbox

Voicemail to email sends a copy of every message left on your 3CX extension straight to your inbox, so you can read who called and listen to the recording without picking up your Yealink handset at all. If you are out of the office, on a job site, or working from home, voicemail to email is the difference between hearing a message in ten minutes and hearing it tomorrow morning.

This guide covers what the feature does, the delivery options 3CX offers, how to get it switched on, and what to check when a message does not arrive. If you would rather we just set it up for you, call 678-374-4352.

In short: voicemail to email sends every message to your inbox with the recording attached. Set the option to attachment, confirm your address on the extension, and voicemail to email works from any device.

What Voicemail To Email Does On Your 3CX Extension

When somebody leaves a message on your extension, 3CX records it and stores it against your voicemail box. With voicemail to email enabled, 3CX also generates an email to the address held on your extension. Depending on the option chosen, that email either tells you a message is waiting or carries the recording itself as an audio attachment.

The important thing to understand is that voicemail to email is a delivery method, not a separate mailbox. The message still lives in 3CX. Your Yealink handset still lights its message key. The email is an extra copy that reaches you wherever you happen to be.

Because the address comes from your extension record, voicemail to email only works if your correct work email is on that extension. That is the single most common reason a new starter never receives anything.

The four voicemail to email delivery options on 3CX

The Four Delivery Options, And Which One To Pick

3CX offers four settings for voicemail to email on an extension. No email notification turns the feature off entirely. Send email notification only tells you that a message is waiting but does not include the audio. Send email as attachment includes the recording as an audio file and leaves the message in your 3CX voicemail box. Send as attachment and delete from inbox includes the recording and clears it from 3CX afterwards.

For most people the right choice is attachment without deletion. You get the recording in your inbox and the message is still on the phone system if you need it again, which matters when a caller leaves an account number or an address you need to replay.

Choose attachment and delete only if you are certain your email is backed up, because once 3CX deletes the message the email copy is all there is.

Notification only suits people who are rarely away from their desk and simply want a nudge.

How To Turn Voicemail To Email On

These options sit on the extension in the 3CX Management Console rather than on the handset. Depending on how your system is configured, you may be able to change them yourself from the 3CX Web Client or the desktop and mobile apps under your own settings, or the option may be reserved for an administrator.

If you manage your own extension, open the 3CX Web Client, go into your settings, find the voicemail section, and pick the delivery option you want. Confirm the email address shown is the one you actually read.

If the setting is greyed out or missing, it is locked to the administrator on your system. Send us a note telling us which option you want and which address it should go to, and we will set voicemail to email for you. It takes a minute and needs no downtime.

If the setting is locked on your system, here is how to ask us to switch it on.

  1. Decide which of the four delivery options you want. Most people want the recording attached to the email and left in the mailbox as well, so the message is still on the phone if they need it.
  2. Confirm the email address the notifications should go to. This is usually your work address, and it has to be unique to your extension.
  3. Send us the request with your name, your extension number, the option you picked and that email address. Use the help desk so it is tracked.
  4. Test it once we confirm. Call your own extension from another phone, leave a short message, and check the email arrives. Tell us the same day if it does not.

If you are not sure which option suits how you work, say so in the request and we will recommend one.

How to set up voicemail to email on a 3CX extension

Record Your Greeting From A Yealink Handset

A default greeting works, but callers respond better to your own voice, and a good greeting cuts down on messages that just say call me back.

From your SIP-T48U, SIP-T54W or SIP-T87W, dial 999, which is the 3CX default voicemail number, or press the message key. Follow the prompts. Option 5 lets you change the self-identification message, and the menu also lets you change your PIN and manage saved messages.

Keep the greeting short. Your name, your company, and one instruction. Telling people that voicemail to email reaches you quickly, or giving the main number for anything urgent, gets you better messages than a long apology about being unavailable.

If 999 does not reach voicemail on your phone, the dial code has been changed on your system. Ask us and we will confirm the right one rather than have you work through the keypad.

Listening Without Email, And Marking Messages Heard

Voicemail to email does not take anything away. You can still dial 999 from the handset and work through messages with the keypad, and the 3CX apps show a voicemail list you can play, download or delete.

In the app, the three dots next to a message give you extra actions, including calling the person back and marking the message as heard. Marking heard is what clears the message waiting light on the Yealink handset.

If your message key stays lit after you have listened to everything by email, that is why. The email copy does not mark the original as heard, so the system still considers it new. Clear it from the app or the handset and the light goes out.

When The Voicemail Email Does Not Arrive

Work through these in order before assuming the system is broken. Check the junk folder first, because an audio attachment from an unfamiliar sender is a classic false positive. Then confirm the correct address is on your extension, which is the most common cause by a distance.

Next, confirm the option is actually set to one of the two attachment settings and not to notification only. People sometimes report no attachment when the extension is set to notify.

If all three check out, the problem is usually the mail relay 3CX sends through rather than voicemail to email itself. That is a server-side setting. Contact UniVirtual Solutions on 678-374-4352 and we will trace it.

One message failing is worth reporting. A pattern of them is worth reporting urgently, because missed voicemail is missed revenue.

Voicemail, Email And Client Confidentiality

For a law firm, a distributor or a manufacturer, a voicemail can contain a client name, a case reference, an order number or a price. Once voicemail to email is on, that recording lives in your mailbox and travels wherever your mailbox travels.

That is not a reason to avoid the feature. It is a reason to make sure the mailbox is protected properly, with multi-factor authentication on the account and a device that locks itself. Both are things we set up as standard.

If you forward your work email to a personal address, tell us before you enable voicemail to email. Client recordings landing in a personal inbox is the kind of detail that surfaces at the worst possible moment, and there are cleaner ways to get the same convenience.

Troubleshooting voicemail to email delivery on 3CX

Getting More Out Of Voicemail To Email

A few habits make the feature far more useful. Create a mail rule that files voicemail messages into their own folder so they never get lost in the general noise of an inbox.

Use the subject line. The 3CX email names the caller and the time, so you can triage several messages without opening any of them.

If you share a role with a colleague, a shared mailbox may suit you better than individual delivery. The next section explains how that works.

And if you are consistently getting voicemail that should have been answered, that is worth a conversation about your call flow rather than about voicemail. We can look at the routing with you.

Voicemail To Email For A Shared Role Or A Team

Voicemail to email is usually set up per person, but the more useful configuration for a busy team is often a shared one. If two people cover the same function, sending voicemail to email to a shared mailbox means messages reach whoever is on duty rather than sitting unopened in the inbox of somebody on vacation.

This matters most in accounts, dispatch and reception, where the caller does not care which individual picks it up, only that somebody does. It also removes the awkward handover where one person forwards voicemails manually for a week.

The change is made on the 3CX side rather than on your handset. Tell us which extensions should point at which mailbox and we will configure it. If you want both, an individual copy and a shared copy, that is usually possible too.

The one thing to decide first is who is responsible for clearing the shared mailbox. Voicemail to email into a mailbox nobody owns is worse than no voicemail at all, because everyone assumes somebody else has dealt with it.

How Long To Keep Voicemail Recordings

Once voicemail to email is running, recordings accumulate quietly in mailboxes. Most businesses never think about this until they are asked to produce or delete something.

For a law firm, a voicemail may belong in the matter record, so keeping it should be a decision rather than an accident. For a distributor, a voicemail confirming an order quantity can be the only record of a verbal instruction. For most other messages, there is no reason to keep them beyond a few weeks.

The practical answer is a mail rule that files voicemail to email messages into their own folder, plus a decision about how long that folder keeps things. That is a five-minute setup and it turns an accumulating pile into something managed.

If your industry has a retention obligation, tell us what it is before we set the delivery option. Choosing attachment and delete means the email is the only copy, which changes where your retention responsibility sits.

What Good Voicemail Habits Look Like

The feature only helps if the messages are worth listening to, and that is mostly down to your greeting.

Ask for what you need. A greeting that says leave your name, your number and the account or matter it relates to produces messages you can act on. A greeting that just says leave a message produces call me back, which costs you a second call to find out what it was about.

Say when you will respond, and be realistic. “I check messages twice a day” sets an expectation you can meet. Promising an immediate reply and not delivering is worse than saying nothing.

Give an alternative for anything urgent. The main number, or a colleague’s name. Voicemail to email is fast but it is not instant, and a caller with a real emergency should not be waiting on your inbox.

And re-record the greeting when things change. An out-of-date greeting mentioning a project that finished last year quietly tells every caller that nobody is minding the details.

Voicemail To Email On Mobile, And Why The App Is Better

You can read voicemail to email on a phone like any other message, and for most people that is enough. But the 3CX mobile app gives you two things email cannot.

The first is one-tap callback. The message in the app is tied to the caller’s number, so you return the call as your extension with the company number showing rather than copying digits out of an email.

The second is marking messages heard. Playing the audio attachment in your email client does not tell 3CX anything, so the message waiting light on your Yealink handset stays lit. In the app, or by dialing 999, the message is marked and the light clears.

The best arrangement is both. Voicemail to email so nothing is missed, and the app for anything you actually need to act on. That combination is what most of our clients settle into after a month.

Related Guides And What To Have Ready

If voicemail to email is set up, these two are the next useful ten minutes: how to transfer a call on your Yealink handset and using your work phone from home. The rest live in Phones and VoIP.

If voicemail to email is not working and the checks above have not helped, have four things ready when you contact us. Your extension number. The email address you expect messages to arrive at. Whether you get nothing at all or a notification with no attachment. And the approximate time of a message you know was left.

With those four we can look at the specific message in 3CX rather than testing blind. Send them in a ticket, or read them out when you phone 678-374-4352.

A Voicemail To Email Checklist

Work down this list once and voicemail to email will do what you expect from then on.

  • Confirm the correct work email is on your 3CX extension.
  • Set voicemail to email delivery to attachment rather than notification only.
  • Decide whether messages should also be deleted from 3CX after sending.
  • Record your own greeting by dialing 999 rather than leaving the default.
  • Ask for a name, a number and a reference in the greeting.
  • Create a mail rule so voicemail to email lands in its own folder.
  • Check junk mail once, so future messages are trusted.
  • Mark messages heard in the app so the handset light clears.
  • For a shared role, point voicemail to email at a shared mailbox.
  • Decide how long recordings are kept, and tell us if there is an obligation.

The one people skip is the greeting, and it is the one that changes the quality of the messages you receive.

Voicemail And Confidentiality In Your Industry

Once voicemail to email is on, recordings live in a mailbox, and mailboxes travel.

Law firms. A voicemail can contain a client name and a matter reference. That makes voicemail to email part of your client confidentiality picture, so the mailbox needs multi-factor authentication and the device needs to lock itself.

Distribution and logistics. Messages often contain order numbers, quantities and prices. Voicemail to email is frequently the only record of a verbal instruction, which is an argument for keeping the audio rather than deleting it.

Manufacturing. Supplier and contractor messages can contain scheduling detail that matters commercially. Sending voicemail to email into a shared mailbox rather than one person means nothing waits for somebody to come back off shift.

If you forward work email to a personal address, tell us before enabling voicemail to email. Call 678-374-4352.

Questions About Voicemail To Email

Yes. Set the extension option to send the voicemail as an attachment. The recording arrives as an audio file you can play on any device. Notification only sends the alert without the audio.

Check junk mail, then confirm the correct email address is on your 3CX extension, then confirm the delivery option is set to attachment. If all three are right, it is usually the mail relay and we will need to look at it.

Yes, unless the option is set to send as attachment and delete from inbox. That setting clears the message from 3CX once the email is sent, so the email copy becomes the only one.

The email copy does not mark the original as heard. Play or mark the message in the 3CX app or dial 999 from the handset and the light will clear.
